E-Mail Filters

Oxxy's email service allows you to manage all incoming mails by creating filters. Thus, you can automatically delete a certain message, save it in a specific folder, use an Auto Responder, etc.

To set up filters for your email:

  • Click on Account settings, then Mail Boxes.
  • Go to the third tab on the left called Add E-Mail Filter
  • From the drop-down menu under For E-Mail choose the specific email you want to apply filters to.
  • Select a name for your filter so you can recognize it easily. Use letters and numbers only
  • From the drop-down menu under filter priority choose highest or lowest.
  • From the two drop-down menus under filter criteria select conditions to trigger the filter.
    You have the following options:
    • Subject – specify exact words or phrases that the subject contains or not. The other options you have are Starts with, Doesn't start with, Ends with and Doesn't end with.
    • From – specify exact words or phrases that the sender contains or not. The other options you have are Starts with, Doesn't start with, Ends with and Doesn't end with.
    • To - specify exact words or phrases that the recipient's email contains or not. The other options you have are Starts with, Doesn't start with, Ends with and Doesn't end with.
    • Cc – specify exact words or phrases that the email address in Cc contains or not. The other options you have are Starts with, Doesn't start with, Ends with and Doesn't end with.
    • Body – specify exact words or phrases that the body of the email contains or not. The other options you have are Starts with, Doesn't start with, Ends with and Doesn't end with.
    • Size – here you can specify a size of the emails in bytes and choose from the drop-down menu whether you want to filters emails that are larger or smaller than this size.
    • Message is – here you can specify the type of the message. You have the following options: A plain text message, Not a plain text message, A multipart MIME message and Not a multipart MIME message
    • Message has spam score – here you can specify the spam score of the message you want to filter. You can choose from 1 to 9.

Note that you must choose a combination of two options from the two drop-down menus under Filter Criteria. For example, from the first menu you can choose Subject and from the second one – Contains. In the text area you must write a specific word or phrase. After that all incoming mails which subject contains this phrase will be filtered.

  • From the drop-down menu under Filter Action choose the preferred action that will be performed when the filter criteria is met. You have the following options:
    • Delete message – this will delete the message when it goes through a filter
    • Use Auto-Responder – this will send an auto responder when filter criteria are met. You can choose the preferred auto responder from the drop-down menu
    • Save message in folder – this will save the message in a certain folder. Keep in mind that to use this function you have to create a folder first.
    • Forward message to – this will automatically forward the message to another email when filter criteria are met. You must add the email that you want to receive the forwarded message in the text area
    • Reject message replying with error – when filter criteria are met the sender of the incoming email will automatically receive an reply with error. You can specify the error in the text area.
    • Choose whether to continue filtering or not. When filtering continues it goes through all next filters, otherwise it stops after the current filter.
    • Click Add filter to save the changes you have made.

How to manage spam settings:

The spam settings allow you to manage the amount of unwanted mails you receive. You can set spam score from 1 to 10. When the incoming email receives a score by the spam filtering system and this score is above the value you have set, the email is tagged as spam. You can choose preferred settings for spam tagging. You can also add emails to the Whitelist or to the Blacklist. In the Whitelist you can add addresses you consider legitimate in order to ensure that you will always receive the emails you need. In the Blacklist you can add emails or host names from which you do not want to receive mails.

Keep in mind that by using a smaller spam score, the spam filtering system may recognize and treat regular non-spam messages as spam.

To customize the spam settings filter of your mailbox:

  • Click on Account settings, then Mail Boxes.
  • Go to the second tab called E-Mail Accounts where you will find all of your email boxes.
  • Use the search filter below to find the relevant email account.
  • Click on the email address to open its settings, or select the settings icon under Options
  • Click on Spam Settings.
  • From the drop-down menu next to spam score choose the preferred spam score
  • From the drop-down menu next to spam tagging select how a message with higher spam score than you have selected is filtered. The possible options are adding a “spam” tag in front of the original message subject or generating spam report and attaching the original message as attachment.
  • To add emails or hostnames to the Whitelist or to the Blacklist click on the add value button next to each setting.
